Link tab

In the Link tab, it is possible to create, edit or check the previous use of link categories.

Description

New Link Category​

This button opens the  New Link Category window. It is possible to create new link categories in this window. See ​New Link Category (window)​.

Edit​

This option opens the  Edit Link Category window. It is possible to edit link categories in this window. See New Link Category (window)​.

Change Priority​

This option opens the  Change Link Category Priority window. It is possible to adjust the relative importance of link categories in this window. A link can only be assigned to one link category. If a URL contains an expression with patterns that match more than one link category, the URL is assigned to the link category that has the highest priority. The priority determines the order in which link categories are assigned to the URLs (see ​Set Priority of the Link Categories​).

Description

Priority​

This column displays the rank of the link category. A link can only be assigned to one category at a time. If a URL contains an expression with patterns that match more than one Link Category, the URL is assigned to the category with the highest priority. The Priority determines the order in which the Link Categories are assigned to the URLs (see ​Set Priority of the Link Categories​).

Assignment​

This column shows how the link is assigned to the category. Automatic assignments can be replaced with a manual assignments at any time. An automatically assigned link category can also be used for a manual assignment. This is even possible when the keyword or Regex does not indicate the URL.

  • Manual: The assignment is done manually when the message is created.

  • Regular expression: The assignment is done automatically by the system. The rules for the assignment are defined with a regular expression. The assignment takes place whenever the Regex applies to the link's address/URL.

  • Keyword: The assignment is done automatically by the system. The assignment takes place whenever the specified keyword is present in the link address/URL.

Name​

This column displays the name of the link category. The name is defined by the user when the link category is created. It is only used for internal identification.

Owner​

This column displays the name of the link category owner. The user who created the link category is the owner. The owner of the link category automatically changes when a different user edits and saves the category.

Creation Date​

This column shows the date on which the link category was made.

Details Area​

A details area displays below the table when a specific link category is selected (highlighted orange). The details area provides the following additional information:

Name​

This entry displays the name of the link category. The name is assigned by the user who creates the link category. The name is only used for internal identification.

Description​

This entry displays information about the link category, if available. The description is entered by the user who creates the link category.

# of messages associated with link category​

This entry displays the number of messages to which the Link Category was assigned. Link categories are only assigned to links in messages that were created after the link categories were defined. Link categories are not applied retroactively to messages that are already sent.

# of links associated with link category​

This entry displays the number of links to which the Link Category was assigned. Link Categories are only assigned to links contained in messages that were made after the Link Categories were defined. Link Categories are not applied retroactively to previously sent messages.

# activities associated with link category​

This entry shows the number of event-based activities in which the link category is used.

Manually​

This entry indicates that the link category is assigned manually when the message is created.

Regex​

This entry indicates that the link category is assigned automatically by the system. The rules for the assignment are defined with a regular expression (Regex). The assignment takes place whenever the Regex applies to the link's address/URL. The regular expression (Regex) is displayed.

Key words​

This entry indicates that the link category is automatically assigned by the system. The assignment takes place whenever the specified keyword is present in the link address/URL. The keyword is displayed.

Owner​

This column displays the name of the link category owner. The user who creates the link category is the owner. The owner of the link category automatically changes when a different user edits and saves the category.

Pattern​

This entry displays the regular expression which defines the pattern used to identify the link category (see ​Link Categories​).

Show​

This drop-down list filters which entries are displayed. It is possible to display active or archived entries.

Remove filter​

This button removes the applied filter. All available entries are displayed again.

Number of visible rows​

This drop-down list defines how many link categories are displayed. It is possible to select 10, 20, 50, or 100 visible rows.

If more Link Categories are available than can be displayed in the number of visible rows selected, arrows at the bottom of the page are used to scroll forward or backward. The page number is displayed between the arrows.

Select All​

This checkbox selects all rows on the page simultaneously.

Archive​

This button archives the entries that are selected. Archived entries are not deleted, they remain stored in the system. To view archived messages, select  Archived from the drop-down list Show. Archived entries can be reactivated at any time.

Delete​

This button deletes the items that are selected after an additional confirmation request. The deleted entries are permanently removed from the system and cannot be retrieved.
