Goal​

Configure the reply handling for a group so that replies are managed in an IMAP folder.

  • Replies are saved in an IMAP folder.

  • You can access the replies with an email program.

An IMAP inbox can only receive messages (with attachment) with a maximum size of 10 MB.

Prerequisites

  1. IMAP is activated for your system (IMAP is a fee-based feature).
  2. IMAP is configured for a Group.
  3. Your Email Client is configured to access the IMAP Folder​.

Background Information​

Every group has its own email address from which it sends messages to the recipients. Mapp Engage does not offer a web interface to view and reply to messages that are sent in response to an email campaign. 

Responses can be forwarded to another email address, or stored in an IMAP folder. You can access this folder with an external email program, such as Outlook. The messages can be read, deleted, or answered in the external mail client. Several different employees can work with the same IMAP folder. The maximum size of a message with attachment that can be received in an IMAP inbox is 10 MB.

Procedure

Configure IMAP for a Group​

Emails in all groups that you configure with one of the following settings are sent to your system IMAP folder. It is not possible to send emails from some groups to one IMAP folder, and emails from another group to a different IMAP folder.
  1. In theMain Navigation​, click ​Audience > Groups​.
  2. Click the  symbol next to a group.
  3. In the group settings, click the ​Reply Handling​ tab.
  4. In the ​Email Reply Handling​ drop-down list, select one of the following settings:

    Mapp Engage stores a copy of every message in your IMAP folder.

    Store in IMAP (Exclude Auto-Responses)

    Mapp Engage:

    • filters the replies for auto-responses, such as out-of-office messages,
    • stores copy of every message in your IMAP folder.

    Forward to Address and Store in IMAP (Include Auto-Responses)

    Mapp Engage:

    • forwards all incoming messages to the email address you define,
    • stores copy of every message in your IMAP folder.

    The messages that Mapp Engage forwards to your specified email address are sent from Mapp’s IP address. Mapp Engage does not perform a security scan on these messages. If your email address is known to spammers, it is possible that you will receive external spam messages that come from Mapp´s IP address. Consider deploying an additional security scan on your end to identify such messages.

    Forward to Address and Store in IMAP (Exclude Auto-Responses)

    Mapp Engage:

    • filters the replies for auto-responses, such as out-of-office messages,
    • forwards the remaining messages to the email address you define,
    • stores a copy of every message in your IMAP folder.

    The messages that Mapp Engage forwards to your specified email address are sent from Mapp’s IP address. Mapp Engage does not perform a security scan on these messages. If your email address is known to spammers, it is possible that you will receive external spam messages that come from Mapp´s IP address. Consider deploying an additional security scan on your end to identify such messages.

  5. Click ​Save​.

Configure Your Email Client to Access the IMAP Folder​

  1. Set up a new server in your email client. The exact procedure depends on your email client.
  2. The following information is needed for the configuration:

    The user name and password are specific to your system. Contact your Account Manager or support for this information.

    This user name and password is different from the one that you use to log in to Mapp Engage.

    Advanced Options

    Select the secure SSL connection. (For example, in Microsoft Outlook, this setting is under Advanced Options).

    Mapp Engage IMAP only works on a secure connection (SSL).

  3. Open ​Advanced Settings​ and then ​Advanced​.
  4. Set ​Incoming Server (IMAP): 993​.
  5. Click ​Ok​ then click ​Next​.
